1. Inconsistent Photo Naming Conventions

If your Excel sheet lists an employee as "Rahul_Sharma", but the submitted JPEG is named "IMG_4921.jpg", the automated printing software will crash. Photo files must exactly correspond to a unique identifier in the database (e.g., Employee ID Number `EMP1024.jpg`).

2. WhatsApp Compressed Photos

Gathering student or employee headshots via WhatsApp compresses the image resolution dramatically. When printed directly onto a high-definition PVC card, the face will look pixelated or blurry. Always collect high-res original files.

3. Not Using an Online Data Portal
